Benefits Administrator

Purpose of Role
As a key member of the Total Rewards team, the Benefits Administrator is responsible for supporting the daily operations of employee benefit programs. This includes managing inquiries, processing enrollments and changes, and serving as a liaison between employees, vendors, and internal teams. The role ensures accuracy and integrity of benefits and payroll data, assists with audits and year-end processes, and plays an integral part in Open Enrollment. Due to the confidential nature of the work, strict adherence to security protocols is required.


Key Responsibilities

Benefits Administration

  • Monitor and respond promptly to emails in the Benefits inbox.
  • Answer calls to the Total Rewards general line and return voicemail messages.
  • Reconcile benefits invoices, submit to accounting, and maintain tracking.
  • Investigate and resolve discrepancies in electronic benefits file feeds.
  • Act as liaison between employees and benefit providers to resolve eligibility issues.
  • Review and approve or deny ADP benefits enrollment tasks for new hires and qualified life events.
  • Support annual Open Enrollment, including employee education, travel, and ADP-related tasks.
  • Process Medical Support Orders, set up payroll deductions, and notify agencies.
  • Prepare and send outgoing mailers.
  • Assist with monthly virtual benefits orientations.
  • Conduct quarterly reviews of ADP and Fidelity data to ensure beneficiary accuracy and task completion.
  • Perform other benefits-related projects and tasks as assigned.

Payroll Collaboration

  • Respond to payroll-related inquiries in the Total Rewards inbox.
  • Assist with audits and subpoenas by pulling payroll records, I-9s, and related documentation.
  • Troubleshoot payroll deduction discrepancies related to benefits.
  • Review and test year-end benefits deductions to ensure payroll accuracy for the upcoming year.

Qualifications

  • High school diploma or equivalent (preferred).
  • 1–2 years of administrative experience.
  • Bilingual in Spanish preferred, but not required.
  • Strong interpersonal and communication skills; ability to communicate professionally with employees and external partners.
  • Proficiency in Microsoft Office Suite.
  • Excellent organizational skills, attention to detail, and time management.
  • Working knowledge of ADP WorkforceNow (preferred).
  • Experience with Excel, including basic formulas and pivot tables.
  • Ability to travel up to 20%.
